Terms & Conditions

By purchasing, booking or participating in any class, bundle, membership, workshop or event at Re|form Wellness Club, you confirm that you have read, understood and agree to be bound by these Terms & Conditions.

1. Class Bundles & Pay As You Go

Class bundles are valid for two (2) months from the date you attend your first class using the bundle, not from the date of purchase. Any unused classes remaining after the expiry date will automatically expire and cannot be reinstated, refunded or exchanged.

Class bundles and pay-as-you-go credits are non-transferable and cannot be shared, extended, converted into account credit or redeemed for cash.

Classes may be cancelled or rescheduled up to 24 hours before the scheduled start time through the Mindbody app or booking system. Cancellations made less than 24 hours before class, or failure to attend a booked class, will result in the class credit being forfeited. Please cancel through the Mindbody app directly — cancellations requested by email, social media or text message may not be monitored in time and the credit will be lost.

Where late cancellations or no-shows become a recurring pattern, we may contact you to discuss your booking habits.

All bundle and pay-as-you-go purchases are non-refundable, except where required by applicable law.

2. Memberships

All memberships are subject to a minimum commitment of three (3) months from the date of your first payment. After this, membership continues on a rolling monthly basis until cancelled. Only 1 Membership per customer.

Memberships are personal to the named member and may not be shared, transferred or assigned to another person. A membership provides access to a set number of passes within each membership period, tracked through Mindbody. Passes are issued monthly, must be used within the calendar month issued, and unused passes do not roll over or convert to cash. If you cancel a booked class, the class becomes available again within your existing monthly allowance rather than being added as an extra credit.

Our Mixed Membership provides access to both Studio and Reformer classes and is not intended to be used exclusively for Reformer classes.

Unlimited memberships are subject to fair and reasonable use. We operate a three-strike policy: three consecutive no-shows or late cancellations (less than 24 hours' notice) within a one-month period may result in your membership being cancelled at the end of that month.

Payments are collected monthly by recurring card payment or Direct Debit. If a payment fails, we reserve the right to suspend your membership, cancel future bookings and restrict studio access until the account is up to date.

Cancelling your membership: after your initial three-month commitment, you may cancel by giving at least 30 days' written notice by email. Your membership remains active throughout the notice period. Membership fees are non-refundable, and cancelling mid-billing-period does not entitle you to a refund.

Pauses: memberships may be paused for medical reasons only, supported by appropriate evidence (e.g. a GP or physiotherapist's letter). Pauses cannot be backdated, and an approved pause extends your minimum commitment by the length of the pause.

Price changes: we may review membership prices from time to time. Existing members will receive at least 30 days' notice before a new price takes effect.

3. Booking & Waitlists

All classes must be booked in advance through our online booking system and are subject to availability. Purchasing a bundle, pay-as-you-go credit or membership does not guarantee availability in any particular class or time slot.

Where a class is full, you may join the waitlist using a valid credit or pass. Doing so uses that credit or pass immediately to secure your place on the waitlist. If a space becomes available, you may be automatically moved into the class and your booking is then confirmed — our standard cancellation policy applies from that point. It's your responsibility to monitor your waitlist status via the app or your account; please don't attend the studio unless your booking is confirmed. If you're not allocated a place, your credit or pass is automatically returned and remains valid for its original expiry date.

4. Class Types & Access

A class credit, bundle, pay-as-you-go purchase or membership provides access only to the class type it covers (for example, Reformer, Studio, or Mixed). A credit or membership valid for one class category does not automatically grant access to another category unless your plan expressly includes both. You're responsible for checking that what you hold is valid for the class you want to book.

5. Studio Rules

Please:

  • arrive on time for class;
  • wear suitable exercise clothing and grip socks where required;
  • treat instructors, staff and fellow clients with courtesy and respect;
  • keep mobile phones on silent during class; and
  • follow all instructions given by instructors.

Grip socks must be worn where required for hygiene and safety. If you don't have your own, these can be purchased at the studio, subject to availability. If you're unable or unwilling to wear the required grip socks, you won't be permitted to participate and the applicable credit or pass will be forfeited.

Late arrival: we operate a strict 5-minute late arrival policy. If you arrive more than 5 minutes after the scheduled start time, you won't be permitted to join and your credit or pass will be forfeited. This is for safety — once the first five minutes have passed, the warm-up is complete, and joining after this point means you haven't been properly warmed up for the exercises involved. Late entry is also disruptive to the instructor and other clients. We recommend arriving at least 5 minutes early to check in and prepare.

Minimum age: you must be at least 14 years old to participate in our classes. Clients aged 14–17 must be accompanied within the studio by a parent or legal guardian for the full duration of their session, and a signed waiver must be completed by the parent or guardian before their first class. Infrared heated ("Hot") classes are restricted to those aged 18 and over, with no exceptions regardless of accompaniment or waiver.

Code of conduct: we're committed to a safe, welcoming and respectful environment. We reserve the right to refuse entry, ask someone to leave, or restrict future bookings at any time — including in the moment — where behaviour is aggressive, abusive, discriminatory, threatening, disruptive or unsafe. Repeated or serious breaches may result in suspension or termination of access or membership.

6. Health & Medical Responsibility

By booking or attending a class, you confirm you are medically fit to participate. You must complete any required health questionnaire or waiver before your first class, and inform your instructor before each class if you:

  • are pregnant or have recently given birth;
  • have an injury or illness;
  • have undergone recent surgery;
  • have a medical condition that may affect exercise; or
  • are taking medication that could affect exercise, heat tolerance or recovery.

You're responsible for exercising within your own capabilities, and should stop immediately and inform staff if you feel unwell, dizzy, faint or short of breath.

Please don't attend the studio if you have a contagious illness or condition that could pose a risk to others. We reserve the right to refuse participation where we reasonably believe attendance presents a health or safety risk to you or others.

Infrared heated classes: exercising in heat places additional demands on the body. It may not be suitable if you're pregnant, have a cardiovascular condition, uncontrolled blood pressure, a condition affected by heat, or are taking medication affecting heat tolerance or hydration. Seek medical advice if you have any concerns. You're responsible for staying hydrated, exercising within your limits, and leaving the class immediately if you feel unwell. Hot classes are restricted to those aged 18 and over.

7. Facilities

Bundle and pay-as-you-go bookings provide access only to the class purchased. Unless expressly included, non-members are not entitled to member-only benefits, including the Red Light Recovery Room, Power Plate or complimentary drinks.

Where included in your membership, the Red Light Recovery Room and Power Plate are for the named member's use only (subject to availability)— not friends, family or guests. Please follow staff instructions, use equipment safely, respect time limits, and report any faults immediately. These facilities are for general wellness only and are not a medical treatment; seek medical advice before use if pregnant, photosensitive, or taking medication that increases light sensitivity.

All studio equipment must be used safely and only as instructed by our team.

8. Workshops & Special Events

From time to time we run one-off workshops or special events outside our regular schedule. Unless stated otherwise: advance booking and full payment are required at registration; class credits, bundles and membership passes don't cover workshops or events unless expressly stated; cancellations made less than 48 hours before the event are non-refundable; and if we cancel or reschedule, an appropriate credit, alternative date or refund will be provided.

9. Changes to Classes & Timetable

We may amend class times, substitute instructors, alter formats, adjust capacity, or cancel classes where reasonably necessary — for example, if a class has fewer than 2 people booked 24 hours beforehand, it is likely to be cancelled. Where we cancel a class you've booked, your credit or pass is automatically returned. We'll provide reasonable notice where possible.

10. Photography, Filming & Marketing

We may take photographs or video within the studio for promotional purposes from time to time, and will let you know beforehand where reasonably possible. If you don't wish to appear in promotional material, please let a member of staff know and we'll respect this wherever practicable.

If you'd like to take photos or film in the studio yourself, please get permission from staff first, and make sure no other clients, instructors or visitors are identifiable without their express permission. We may ask you to stop filming if it disrupts classes or compromises others' privacy.

11. CCTV

Communal areas of the studio are monitored by CCTV, including video and audio, for the safety and security of our clients, staff and premises. By entering the premises, you acknowledge this. Recordings are processed in accordance with UK data protection legislation.

12. Privacy & Data Protection

Re|form Wellness Club is registered with the Information Commissioner's Office (ICO) and processes personal data in accordance with UK data protection legislation (UK GDPR and the Data Protection Act 2018). Full details of how we collect, use and store your data — including for bookings, payments and marketing communications — are set out in our separate Privacy Policy, available on request or via our website.

13. Personal Belongings

You're responsible for your own belongings while at the studio. Re|form Wellness Club accepts no responsibility for items lost, stolen or damaged, unless caused by our negligence.

14. Children & Visitors

Only paying clients, members, authorised participants, or accompanying parents/guardians of clients aged 14–17 (see Section 5) may enter the studio or use its facilities, unless we've given prior permission. Children must not be left unattended anywhere on the premises.

15. Suspension & Termination

We may suspend or terminate access or membership where someone repeatedly fails to make payment, repeatedly breaches booking policy, shares their membership or allows non-members to use it, damages studio property, behaves in a way that affects the safety or enjoyment of others, or otherwise breaches these Terms. Where appropriate, we'll try to discuss concerns with you first.

16. Liability

Participation in Pilates, Reformer, Barre, Yoga and other physical activities involves inherent risks, including muscular strains, sprains, falls, or aggravation of existing injuries. By participating, you acknowledge and voluntarily accept these ordinary risks.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot legally be excluded under the laws of England and Wales.

17. Force Majeure

We won't be liable for any failure or delay in providing services caused by circumstances beyond our reasonable control, including severe weather, power failures, flood, fire, government restrictions or public health emergencies. We'll notify you of any disruption where possible and resume normal service as soon as reasonably practicable.

18. Changes to These Terms

We may amend these Terms & Conditions from time to time. Where a change materially affects your membership or booking, we'll provide reasonable notice before it takes effect.

19. Governing Law

These Terms & Conditions are governed by the laws of England and Wales. Any dispute arising in connection with these Terms is subject to the exclusive jurisdiction of the courts of England and Wales. Nothing in these Terms affects your statutory rights as a consumer.

20. Agreement

By purchasing, booking or participating in a Re|form Wellness Club class, bundle, membership, workshop or event, you confirm that you have read, understood and agree to these Terms & Conditions and any applicable Participation Waiver.
